Importing Default Policy Files
The first time a VERA installation is run using 2023.2, the default policy set will be created using the policy files in the Policies directory. The policy files will be loaded into the database, and the files will be moved to an archive folder. This is a one-time action to create a Default Approval Policy, and Default Records Management Policy from existing policy files. At the minimum, a Synchronization Policy with the VERA Server connection information must be uploaded to connect the VERA Web Portal to VERA Server.
After the initial import of default policy files through the file system, putting subsequently updated policy files into the Policies directory will not update the policy file in the database. Updates must be done through the Policy Management UI.
The maximum upload size for policy files is 2MB.
Starting in 2023.2, VERA administrators setting up a new VERA Web Portal can import default policy files through the Policy Management UI via https://tx3.atlassian.net/wiki/spaces/V20232/pages/298128819/Managing+Default+Policies#Add-Default-Policy-Files. The first policy file uploaded for approval or record management policy type will be recognised as default policies. Subsequent policies uploaded can also be set as default on the policy details page.
Downloading the Default Policies
Default policy files can be downloaded from the database using the Policy Management UI.
Download a default policy file
Open the Policy Management page.
Find the row for the default policy you wish to download: Approval, Records Management.
Click the Download button in the Actions column for that row.
The file is downloaded and saved to your standard downloads folder (or as configured for your browser).
Updating a Default Policy
Default policy files can be updated with new versions by uploading the new file through the Policy Management page.
Update the policy file
Download the default policy file that you want to update.
Open the policy file in your preferred text editor to make the appropriate changes and update the version number.
Keep in mind that the maximum upload size for policy files is 2MB.
Upload the new policy file version to the appropriate policy file row.
Upload a new policy file version
Click the Upload button in the Actions column for the policy you want to update.
Use the Choose File button to navigate to the file to upload and click Import.
A warning will appear if the admin attempts to upload an unsupported file type. Please upload a JSON file.
A warning will appear if the admin accidentally uploads a policy file to the wrong policy type (i.e., the admin attempts to upload a synchronization policy to replace an approval policy).
A warning will appear if the file size is above 2MB. Please review the policy file to meet the size requirement.
The policy file is replaced with the new version.
Refresh the page to see if the Policy Management page reflects the new version.
Add Default Policy Files
In 2023.2, the initial default policy set can either be uploaded during the initial set up of the VERA Web Portal/VERA Server through the backend (https://tx3.atlassian.net/wiki/spaces/V20232/pages/298128819/Managing+Default+Policies#Importing-Default-Policy-Files) or through the Policy Management UI’s Add Policy button. The Add Policy button can also be used to upload updated versions of any default policy file as an alternative to the individual upload button on each row of the policy table (https://tx3.atlassian.net/wiki/spaces/V20232/pages/298128819/Managing+Default+Policies#Updating-a-Default-Policy).
Add/Update a default policy file
Open the Policy Management page.
Click the Add Policy button.
Select the Policy Type of the policy file (Approval, Records Management).
Upload the policy file.
Refresh the page to see the Policy Management page reflects the new policy.
NOTE: At the minimum, a Synchronization Policy with the VERA Server connection information must be uploaded to connect the VERA Web Portal to VERA Server in order to view policy files through the Policy Management UI.
