Task Assignment Notifications

Throughout the life cycle of an approval route, emails are generated to the various task assignee's:

  • Task Assignment: A user will receive an email notification when another user explicitly assigns to them one or more approval tasks. The term 'explicitly assigns' means that the approval task(s) have been assigned to the user's ID, rather than to a general approval role. (Example: A task assigned to Mike Smith (msmith) will result in an email notification, while a task assigned to <Any> Business Approver will not result in a notification.)
  • Route Withdrawn: A task assignee will receive an email notification if an approval route is withdrawn before the user has completed their pending task. The notification is intended to function as a cancellation notice for the previous task assignment notification.
  • Route Rejection: A task assignee will receive an email notification when an approval route is rejected by another approver before the user has completed their pending task. The notification is intended to function as a cancellation notice for the previous task assignment notification.
  • Task Reassignment: A task assignee will receive an email notification when their task has been reassigned to another user by an administrator. The notification is intended to function as a cancellation notice for the previous task assignment notification.

Route Status Notifications

The author/owner of an entity will be notified by email when the approval route finishes, either via approval or rejection.

  • Route Completion: The user will receive an email notification each time an entity that they have authored has become fully approved. (i.e. The notification will be sent only after the final approval signature is applied, not each time a single approval signature is applied.)
  • Route Rejection: The user will receive an email notification when one or more of their authored entities have been rejected by an approver.

Administrators can configure email notifications to be enabled or disabled on a per project basis. If email notifications are disabled for a project, notifications will not be sent.
