VERA allows users to search for records in VERA instead of locating the record in the source system and navigating to the corresponding VERA record details page.

Search for Records

Search Criteria

When users land on the Record Search page, they will be prompted to enter search criteria to view records. The available filters are Projects, Record Type, Record Status, and Record Name; the former options are shown via prepopulated checkboxes, while the latter is a free-form text search. For example, if the user types “GxP” in the Record Name search box, all records containing the word “GxP” in any part of the record name will be returned. The dropdown options for Projects, Record Type, and Record Status are prepopulated based on the information from all records the user has access to. Users can combine multiple filters by selecting various options at once. The results will be returned based on the user’s domain memberships in addition to the selected criteria. Users will only be able to locate records that are in the same domain as the user.

Table View Options

The results of the table are automatically sorted by Record Name, but the user has the ability to sort by any of the following in ascending or descending order:

  • Project Name

  • Record Type

  • Record Name

  • Record Status

By default, only the first 15 results are displayed. The user can either page through the rest of the pages to see all results or change the number of results displayed per page.

Viewing Record Detail

The Record Name is hyperlinked to navigate to the latest revision of the record details page for the record. When a user navigates to a record this way, they cannot apply their signature to a record that needs approval. This is a view-only page as these records are not specific to the approval task. The user must navigate to the source system or the approval queue to select the appropriate approval task to use an acceptance or rejection to the record. Share the Search Parameters

Users can share their search results by clicking on the share button to copy the URL or by manually copying the URL from the address bar. Only the relevant results for the second user will affect the user who shares the results. For example, if User A creates a filter that displays records from a domain that User B is not in, then User B will not see those records in their results. Likewise, the options in the Projects, Record Type, and Record Status dropdowns might differ between User A and User B depending on their domain memberships as the available records in those domains. Otherwise, all other functionality will remain the same.
