Importing Default Policy Files

When upgrading to Vera 2023.2 from a previous Vera version, the default policies will be created using the policy files in the Policies directory. Existing policy files will be marked as default policies.

When installing a new Vera server, Vera administrators can import default policy files through the Policy Management page (). The first approval policy and record management policy will be recognized as default policies. Subsequent policies uploaded can later be set as the default on the policy details page.

The maximum upload size for policy files is 2MB.

Downloading Policy Files

Policy files can be downloaded through the Policy Management page.

Download a policy file

  1. Open the Policy Management page.

  2. Find the row for the policy you wish to download: Approval, Records Management.

  3. Click the Download button in the Actions column for that row.

  4. The file will be downloaded and saved to your standard downloads folder (or as configured for your browser).

Updating Policy Files

Policy files can be updated with new revisions by uploading the new file through the Policy Management page.

Update the policy file

  1. Download the default policy file that you want to update.

  2. Open the policy file in your preferred text editor to make the appropriate changes and update the version number.

    1. Keep in mind that the maximum upload size for policy files is 2MB.

  3. Upload the new policy file version to the appropriate policy file row by following the directions in the section below.

  1. Click the Upload button in the Actions column for the policy you want to update.

  2. Use the Choose File button to navigate to the file to upload, add a comment (optional), and click Import.

    • A warning will appear if the admin attempts to upload an unsupported file type. Please upload a JSON file.

    • A warning will appear if the admin accidentally uploads a policy file to the wrong policy type (i.e., the admin attempts to upload a synchronization policy to replace an approval policy).

    • A warning will appear if the file size is above 2MB. Please review the policy file to meet the size requirement.

  3. The policy file will be replaced with the new revision.

Add New Policy Files

New policy files can be added to Vera through the Policy Management page. When adding a policy file, it cannot initially be marked as default until it has already been added to the database.

Add a policy file

  1. Open the Policy Management page.

  2. Click the Add Policy button.

    1. Choose the correct policy type: Approval, Records Management Policy

      1. If you attempt to upload an incompatible policy type to the one you selected, you will receive an error.

  3. Give the policy file a name. Policy file names must be unique. An error will display if you enter a duplicate name.

  4. Select a Policy Owner (optional)

  5. Enter a Description (optional)

  6. Upload the policy file.

Setting Default Policy Files

After the initial policy files are imported and set to default, they do not have to remain the default. The default policy file can be set to any policy.

Set a policy file as default

  1. Open the Policy Management page.

  2. Navigate to the policy that you want as the new default.

  3. Click “Set as Default Policy”

  4. A modal will pop up confirming your action

    1. NOTE: There can only be one default policy per type at a time. Doing this will make the current default policy a non-default file.

Delete Policy Files

A system administrator can delete any unused policy files.

Policy files associated with policy sets or marked as default cannot be deleted.
